Team management: users vs. sub-accounts
Textmagic offers two ways to manage teams: users and sub-accounts. While both help you work with others, they serve different needs and are not used simultaneously. Here’s what you need to know.
What’s the default?
All new Textmagic accounts now use the user flow by default. The sub-accounts flow is legacy – it’s no longer available unless explicitly enabled by Textmagic support team.
Choose “user flow” if:
- You want your team to collaborate within the same account.
- Everyone shares the same texting number and email sender, working in one unified inbox.
- Messages, contacts, templates, and reporting are fully shared across users.
- Each user has their own login with role-based permissions.
Choose “sub-account flow” if:
- You need separate workspaces for different departments or functions.
- Each sub-account uses its own texting number and email sender, with access to only its own inbox.
- Contacts, messaging data, templates, and reports are not shared between sub-accounts by default.
- All sub-accounts use the parent account’s balance, but have independent logins.
- Perfect for multi-department setups (e.g., Support, Marketing, Development) or client-separated work.
Tip: With permission, sub-accounts can access each other’s workspace using the “Login as user” feature.
