How to import contacts

Importing multiple contacts in one go can save you a lot of time and effort.

TextMagic supports two import types:

  • Upload Excel or CSV file;
  • Paste numbers from clipboard.

Please note: it is no longer possible to archive the data.

At the moment it is mandatory to add contacts to a list.

If you choose not to create a list, our system will automatically create a new list for you.

If all your SMS contact numbers are from the same country, you can leave them in local format, i.e without the country code.

For example:

  • UK number 07971234558
  • US number 09171234567
  • Australian number 0451991668

If your contact list consists of international numbers, please make sure that numbers are in the ‘countrycodemobilephonenumber’ format, with no spaces or plus signs.

For example:

  • UK number 447971234558
  • US number 19171234567
  • Australian number 61451991668

Your contact list file may have as many custom fields as you like, such as date of birth, address, job title, etc. TextMagic lets you use these custom fields as tags, to send personalised SMS to relevant groups.‘Merge tags’ allow you to dynamically add content to your bulk text message.

If you do have custom fields, please add custom fields to your TextMagic account.

To import contacts from an Excel or CSV file:

  1. Go to the ʻLists’ tab.
  2. Click on ʻNew contact’. TextMagic add SMS contact
  3. Select ʻImport multiple contacts’. TextMagic import multiple SMS contacts
  4. Click ‘Upload Excel or CSV file’.
  5. Choose the file you want to import from your PC and click ‘Continue’. TextMagic upload SMS contact list from the pc
  6. Select the country.

    If your contacts are from different countries, make sure a country code is entered next to each number on your Excel sheet. For example:

    • UK number 447971234558
    • US number 19171234567
    • Australian number 61451991668

  7. Select the list where you want the contacts to be added and click ‘Continue’. TextMagic add SMS contacts to a list
  8. Now you will see a preview of your imported data. Match the imported columns with their respective TextMagic fields and click ‘Continue’. TextMagic match fields

Your import session has started.

You can now see your import details and import preview in the respective tabs.

Once the import session is completed, you will receive an email and see a notification in the webapp.

You can monitor the progress of your import sessions via the ‘Import’ tab.

To paste numbers from a clipboard:

  1. Go to the ʻLists’ tab.
  2. Click ʻNew contact’. TextMagic add SMS contacts
  3. Select ʻImport multiple contacts’. TextMagic import multiple SMS contacts
  4. Click ʻPaste numbers from clipboard’.
  5. Copy and paste your numbers into the box and click ʻContinue’.

    Please make sure:

    • numbers are separated with commas or spaces; or
    • you have one number per line/column.

  7. Click ʻAdd to list’. If you choose not to, our system will create a new list automatically. TextMagic add SMS contacts to a new list
  8. Now you will see a preview of your imported data. Match the imported columns with their respective TextMagic fields and click ʻContinue’.

You can now see your import details and import preview in the respective tabs.

To check which contacts were imported:

  1. Go to the ʻImport’ tab.
  2. Find the file name and click the contacts you want to review on the ʻImported data’ tab. TextMagic review imported SMS numbers

This shows you:

  • successfully imported contacts;
  • duplicate contacts that were excluded; and
  • contacts that failed to import.

To help you avoid confusion, TextMagic does not import duplicate contacts.

Other than duplicates, the most common reasons for contacts failing to import are incomplete numbers and invalid number formats. However, import session reports are available for 30 days after the import, enabling you to identify and rectify any failures.

To rectify import failures:

  1. Go to the ʻFailed’ imported data tab.
  2. Click ʻEdit’ next to each incorrect number. TextMagic edit failed number
